Your Impact

As an Executive Assistant, you will play a pivotal role in managing executive operations, streamlining communication, and ensuring seamless workflow within the top management office of a major oil & gas organization.

  • Your strong organizational skills, professionalism, and skilled in handling sensitive information will directly support strategic and operational initiatives at senior leadership levels.
  • You will coordinate cross-departmental activities, supervise a small administrative team, and ensure the executive office operates with precision, clarity, and efficiency.
  • Your communication skills and familiarity with structured corporate environments will enable you to act as a trusted point of contact for internal and external stakeholders.

Key Responsibilities Include:

  • Managing the daily operations of the executive office to ensure smooth workflow and communication.
  • Coordinating schedules, meetings, travel arrangements, and commitments for senior executives.
  • Supervising and mentoring administrative staff within the executive office.
  • Preparing, reviewing, and organizing reports, correspondence, and presentations for executive leadership.
  • Handling confidential documentation with the highest degree of discretion and professionalism.
  • Acting as a liaison between senior leadership, internal teams, and external partners.
  • Organizing high-level meetings, taking minutes, and ensuring follow-up on action items.
  • Supporting project coordination and overseeing structured documentation processes across departments.
  • Collaborating with HR, finance, technical, and operational units to ensure proper information flow.
  • Tracking priorities, deadlines, and initiatives to support executive planning and decision-making.

What You Bring

To excel in this role:

  • You have proven experience as an Executive Assistant or Office Manager in the oil & gas, industrial, or large corporate sectors.
  • You are highly organized, detail-oriented, and skilled in managing multiple priorities under pressure.
  • You are proficient in Microsoft Office Suite, scheduling tools, and document management systems.
  • You have experience supervising administrative staff and coordinating cross-functional workflows.
  • You bring strong interpersonal, communication, and negotiation skills.
  • You are proactive, adaptable, and skilled in anticipating the needs of senior executives.
